Our client Recruit AI is looking for a Operations Coordinator - Plumbing and Heating in REMOTE

We are a UK-based plumbing and heating company looking for a highly organized, confident and proactive Remote Operations Coordinator to support the day-to-day running of our business.

This is not simply a data-entry or basic administration position.

You will be responsible for helping manage plumbing and heating jobs from the initial customer enquiry through to engineer attendance, completion and invoicing. You will communicate daily with UK customers, engineers, suppliers and management. We therefore require someone with excellent spoken and written English who is comfortable communicating professionally over the telephone, WhatsApp and email

Responsibilities

Answering and responding to customer enquiries
Speaking with customers over the phone, WhatsApp and email
Taking details of plumbing, heating and maintenance issues
Creating and updating jobs on the company system
Booking appointments and arranging engineer visits
Allocating jobs to the appropriate engineers
Managing engineers' diaries and schedules
Confirming appointments with customers
Following up with engineers regarding outstanding jobs
Obtaining job completion information, photographs and paperwork
Keeping customers updated on the progress of their jobs
Contacting suppliers to check prices and availability of materials
Ordering materials and parts where authorized
Coordinating between customers, engineers and suppliers
Chasing outstanding quotations and approvals
Ensuring jobs do not remain unnecessarily outstanding
Updating job statuses accurately
Checking that completed jobs have all required information
Preparing jobs for invoicing
Raising and sending invoices where required
Following up outstanding invoices and payments
Maintaining accurate customer and job records
Escalating complaints, emergencies and technical issues appropriately
Providing management with updates on outstanding jobs
Helping improve administrative processes as the company grows

What We Are Looking For

The successful candidate should have:
